Big Talent – Job Applications: Browser Extension Privacy Policy

1. What the extension does

The extension helps you complete online job application forms faster by autofilling fields from your Big Talent profile. You sign in with your Big Talent or Big Interview account, open a job application page, and explicitly choose to scan the form and fill the mapped fields.

The extension never submits a form on your behalf and never fills fields without an action you initiate.

2. Information the extension collects and processes

We limit collection to what is needed to provide the autofill feature.

a. Account credentials and authentication

When you sign in through the extension’s popup, your email address and password are transmitted securely to our authentication systems over HTTPS.

We do not store your password in the extension. After a successful sign-in, the extension stores a session token and your email address in the browser’s local extension storage on your device so that you can remain signed in.

3.2 Information collected automatically

• Device and connection data, such as IP address, browser type, operating system, and general (non-precise) location inferred from IP address.
• Usage data, such as pages viewed, features used, session duration, and error reports.
• Cookies and similar technologies, including session cookies, persistent cookies, local storage, and pixel tags. Categories include strictly necessary, preference, analytics, and (where consent is given on our marketing website) advertising cookies.

b. Web form and page data on sites you visit

When you click Scan on a job application page, the extension reads the structure of the form and may send the following information to our systems to determine which profile values correspond to which fields:

• the page URL and page title of the application form;
• form field labels;
• question or prompt text;
• input types; and
• similar form-field descriptors extracted from the page.

The extension acts only on pages where you explicitly trigger a scan or fill action. It does not collect your general browsing history and does not read pages that you do not interact with through the extension.

c. Answers you type into custom questions

When a form contains a custom question that is not already covered by your profile, and you choose to save your answer, the text of that answer may be sent to our systems and added to your Big Talent profile for reuse on future applications.

This occurs only in response to an action you initiate.

d. Profile and resume data

To fill an application, the extension retrieves relevant values from your Big Talent profile and, where applicable, your resume file.

This information originates from the account and profile you created in the Big Talent web application.

e. Local operational data

The extension stores a small amount of operational information on your device using the browser’s extension storage. This may include your session token, email address, per-tab scan or fill state, settings, and similar information needed for the extension to function.

This information remains in your browser unless it is transmitted as otherwise described in this policy.

f. Sensitive fields

Fields identified as sensitive, such as government identifiers or similar protected information, are flagged and are not autofilled by the extension.

3. How we use information

We use the information described above to:

• authenticate you and keep you signed in;
• determine which profile values correspond to fields on a job application form;
• fill mapped fields;
• provide your resume file to a form at your request;
• save custom answers you choose to retain for future applications;
• operate, maintain, secure, troubleshoot, and improve the extension; and
• provide support and respond to technical issues.

We do not use information collected through the extension for advertising, for profiling unrelated to the autofill feature, or for purposes unrelated to delivering and improving the extension’s disclosed functionality.

4. How information is shared

Our systems and service providers

Form, profile, and account information may be processed by our systems and by service providers that operate on our behalf.

These service providers may include hosting and infrastructure providers and artificial intelligence or machine-learning providers used to perform field mapping. They process information under contractual and confidentiality obligations.

A current list of our material service providers is available on request to enterprise customers.

We do not sell your data

We do not sell, rent, or trade your personal information.

No third-party advertising or trackers

The extension does not include advertising networks or third-party advertising trackers.

Legal reasons

We may disclose information if required by law, regulation, legal process, or governmental request, or where reasonably necessary to protect the rights, safety, and security of our users, our company, or our services.

The extension complies with the Chrome Web Store Limited Use requirements. Data obtained through the extension is used only to provide and improve the autofill feature, is not transferred to third parties except as needed to provide that feature or as required by law, and is not used for personalised advertising, creditworthiness, or lending purposes.

5. Data retention

Local device data, including your session token, email address, and operational state, persists until you sign out, clear the extension’s storage, or uninstall the extension.

Server-side information, including your profile, saved answers, and account information, is retained while your account is active and deleted following account deletion, with backup copies retained for up to 35 days afterward.

Page and form-field information sent for mapping is used to calculate and return field mappings and may be retained only as reasonably necessary to provide, secure, troubleshoot, and improve the feature.

6. Security

Data transmitted between the extension and our systems is sent over encrypted HTTPS connections.

Your password is not stored by the extension.

We apply reasonable technical and organisational safeguards designed to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your choices and rights

You may:

• sign out at any time from the extension popup to remove the stored session token from your device;
• uninstall the extension to stop its operation and remove its local storage;
• access, correct, or delete profile and account information through the Big Talent web application; or
• contact us to exercise an applicable privacy right.

Depending on your location, you may have additional rights under laws such as the GDPR or CCPA/CPRA. These may include rights to access, correct, delete, restrict, or object to the processing of your personal information, as well as the right to lodge a complaint with a supervisory authority.

8. Permissions the extension requests and why

storage

Used to store your session token, email address, settings, and operational state on your device so the Extension can function and keep you signed in.

activeTab

Used to temporarily interact with the current job-application tab when you open the Extension and initiate an autofill-related action. This access is tied to that user action rather than being granted permanently for every website.

scripting

Used to inject the Extension's packaged page helper into the current job-application page and into embedded frames for which you have granted access. This helper scans and fills form fields and supports application-completion detection.

webNavigation

Used to identify frames and navigation changes within an active application journey so forms split across embedded frames can be scanned and filled and the dashboard-return flow can recognize page transitions after submission.

Access to Big Talent services

Used to communicate with the Big Talent API and support the apply handoff and return flow on your organization's Big Talent dashboard.

Access to job-application websites

Used to read and fill application forms on employer and applicant-tracking-system sites, including forms embedded in cross-origin frames. When additional access is needed, the Extension asks you to allow the relevant site during an autofill action. For an application opened from the Big Talent dashboard, it may also inspect submission and completion signals on that application journey so it can offer to mark the application as completed and return you to the dashboard. The Extension does not receive access to all websites at installation.

9. Children’s privacy

The extension is intended for job seekers and is not directed to, or intended for use by, children under the age of 13.

We do not knowingly collect personal information from children under 13.

10. Changes to this policy

We may update this Privacy Policy from time to time.

Material changes will be reflected by updating the “Last updated” date above and, where appropriate, through the extension or the Big Talent service.

Your continued use of the extension after an update constitutes acceptance of the revised policy.
